About the Position
The Events Producer role at IonOpticks offers an exciting opportunity to contribute to a leading Australian technology company poised to redefine chromatography and proteomics on a global scale. Reporting to the Head of Brand and Marketing, the position is responsible for supporting the company’s Strategic Plan by elevating IonOpticks’ brand presence through the planning, development, and execution of all corporate events, including international conferences, seminars, and promotional events. The Events Producer will collaborate closely with various internal teams to ensure seamless event experiences that align with our strategic goals and brand ethos. This role also performs a variety of administrative and general operational duties in support of advertising and marketing programmes within the Brand and Marketing department.

Responsibilities and Duties 
Support the Head of Brand and Marketing in the following Key Responsibility Areas:

Key Responsibility Area 1: Event Strategy and Execution

  • Lead the planning, coordination, and execution of all IonOpticks events, including trade shows, conferences, seminars, and webinars, both domestically and internationally.
  • Develop bespoke event concepts and themes that align with IonOpticks’ strategic growth objectives and brand identity internationally, ensuring a consistent, impactful and local presence.
  • Across all global regions, oversee and activate localised and regular IonOpticks-branded community events that deeply integrate the brand within key scientific and industry networks, encouraging knowledge exchange, cutting-edge research and the establishment of IonOpticks as a thought leader and integral part of the research community.
  • Manage all facets of event logistics, from venue selection and vendor management to on-site execution and post-event evaluations including lead generation and mail list management.
  • Work closely with the Brand and Marketing team to develop and implement effective promotional strategies for each event, maximising attendance and engagement.
  • Coordinate the preparation of polished presentations for company representatives at significant events, ensuring they align with IonOpticks’ branding and effectively convey our key messages.
  • Collaborate with the Research and Development team to showcase IonOpticks’ innovations and technologies at industry events, enhancing product visibility and brand recognition.

Key Responsibility Area 2: Stakeholder engagement and collaboration 

  • Build and maintain relationships with external partners, suppliers, and industry associations/societies to enhance IonOpticks’ event participation and provide advanced, early research of sponsorship opportunities.
  • Serve as the primary liaison between IonOpticks and event organisers, ensuring optimal brand placement and exposure.
  • Work with internal teams to gather content and materials for events, ensuring alignment with IonOpticks’ messaging and branding guidelines.
  • Provide support to the Head of Brand and Marketing in the development and execution of IonOpticks’ overall event management strategy, including budget management and ROI analysis.
  • Manage IonOpticks’ comprehensive international event calendar, ensuring optimal planning, scheduling, and resource allocation for all corporate and community events, while maintaining alignment with strategic and financial
  • Liaise with IonOpticks’ booking partners to coordinate and manage travel arrangements for the company’s Executive Team and its corporate event participants, ensuring seamless travel experiences and logistical support for all freight forwarding and shipping of promotional requirements.

Administrative Support 

  • Provide meticulous and timely support for event-related administrative responsibilities, including details budget oversight, vendor billing, internal correspondence, and real-time coordination of events, irrespective of the geographical location.
  • Generate detailed reports on event outcomes, attendee feedback, and performance metrics to inform future event strategies and initiatives.
  • Other reasonable duties as required, which may involve occasional international travel.

The Successful Applicant

To be considered for this role, you should be an agile, adaptive, and organised individual with a proven track record in event management and production within a corporate or technology-focused environment. You should possess exceptional project management skills, attention to detail, and the ability to thrive in a fast-paced, innovative setting. Previous experience in the life sciences sector or basic scientific literacy will be highly regarded.

Required Qualifications

EssentialDesirable

  • Tertiary qualification in event management, marketing, communications, or a related field.
  • A minimum of 3 years’ experience in corporate event planning and production, preferably within the technology or life sciences sectors.
  • Experience in international event management and coordination.
  • Familiarity with the life sciences sector and a basic understanding of scientific principles.

  • Proven expertise in end-to-end event planning and execution, including budget management, logistics, and vendor relations.
  • Strong interpersonal and communication skills, with the ability to collaborate effectively with internal teams and external partners.
  • Creativity and innovation in event concept and design, with a keen eye for detail and brand alignment.
  • Proficiency in using project management software and tools, as well as basic digital marketing platforms.
  • Experience in digital event platforms and virtual event production.
  • Skills in photography, videography, or graphic design to enhance event presentations and materials.
